What is the Pearl Patient Portal?

The portal allows patients to complete outstanding documents before they enter the practice. Initially developed in 2020 to help practices safeguard against Covid-19, the portal has gone through continuous development cycles, allowing patients to complete a lot more than just their Covid-19 triage assessment.

Pearl's Patient Portal now allows patients to complete medical histories, sign treatments plans. It also allows patients to check themselves in and view upcoming appointments and much more. All without the need to give the practice a call!

What does the patient need to do?

Setting up the portal

The patient portal can be implemented at your practice today free of charge. the portal is included with your practice subscription to Pearl.

All you need to do is fill out the Pearl Portal Request Form

Then one of our team will give you a call once its ready to use.

Patient requirements

Patients are required to have the following details to access the portal:

- Forename

- Surname

- Postcode

- Date of Birth

- Mobile Number


If the patient's details can not be confirmed in pearl they will see the following error, prompting them to contact the practice:

Book the patient an appointment

When you add an appointment in Pearl, Click the Pearl portal button at the bottom right. You can request the specific documents to be signed and then click 'Send Patient(s) To PearlPortal'. You have now requested the patient complete the specified documents.

Pearl will confirm you have requested the patient to complete documents.

Save the appointment

These tasks get sent to the patient's account on the portal. The portal link will still need to be sent by either SMS or email. Without sending these tasks the patient will be navigating the portal without assistance, these tasks hold their hand through all of the portal's features.

Patient outstanding requests

On the Patient Appointment Snapshot the portal will show you multiple icons with different meanings.

When you hover over both icons it will explain what documents have been requested or completed.

Sending the patient the portal link

This can be done through multiple different ways. Generally we recommend adding a link to the portal to your reminder templates, which can be done on Email templates or SMS templates.

What does the patient need to do?

Logging into Pearl Portal

Once the patient has received the link, all they have to do is fill out the following:

- Surname

- Date of birth

- Postcode

If the patient cannot access the Portal please check the information input by the patient matches the details you have on their patient record in Pearl. Any slight differences will prevent the patient from logging in and will need updating. Also check you have enough SMS credits to allow registration of the patient’s Portal login (Integration tab in Pearl -> SMS Credits).

Verification

If it’s their first time using the Portal, patients will need to input a one-time verification code sent to their registered mobile number. Once they have logged in, they may setup a password for future logins.

If the patient has forgotten their password, they can use the Send SMS button to login via the one time access code, then change their password in Account Settings.

Parent/Guardian Information

If the patient requires a parent/ guardian to complete their Portal request, then their parent / guardian can access this on behalf of the patient, otherwise the patient can continue to the next screen.

Family members and a default recorded parent / guardian record will automatically be listed and they can add additional details manually. This will be recorded on any documents or changes made on the Correspondence Tab in Pearl.

Information the patient can fill out

Patient Details

The patient can update their personal details from the Portal. Whether it’s a change of address or to consent to receive SMS marketing messages, this will update the record in Pearl instantly.

Covid-19 Assessment

The COVID-19 assessment questions are matched to what is currently asked in Pearl. Any answers that have been marked to trigger a warning will show on Pearl when loading that Patient record. When a COVID-19 assessment is complete, it is recorded in Pearl with the date and time.


Medical History

A Patient can complete a Medical History check before every visit on the Portal. They may also leave any emergency contact details. This will then update when the medical history was last checked by the Patient in Pearl.


NHS FP17PR Form

The PR form is a signable agreement to show if the patient is exempt from any charges or a reduced charge for their treatment. Please ensure supporting details are provided where necessary. Once the Patient is happy with the details they have provided, they can sign in the box at the bottom and confirm the signature.

This signed document can then be viewed from the Patients correspondence or Patient folder within Pearl. Patients may also view this document from their Portal login.


Private Treatment Plans

A patient's treatment plan can be sent to the Portal to sign, including any terms and conditions you may have on this document. Once the Patient is happy with the details they have provided, they can sign in the box at the bottom and confirm the signature.

This signed document can then be viewed from the Patient's correspondence or Patient folder within Pearl. Patients may also view this document from their Portal login.
